Managing participants in groups

How you can teach participants collectively in trainings with the help of groups and manage these

With groups in reteach, you can consolidate and manage multiple participants in your academy according to various criteria. This facilitates the structured training of entire departments and simplifies assigning courses and mailings.

To create a group, navigate to the "Participants" menu item in the reteach admin area, then select "Groups." Next, click the "Gruppe erstellen" (Create Group) button at the top right of the window.

 



A small window will appear where you can edit your new group. The main setting here is to choose whether to create a static or dynamic group.



Notifications:
Email notifications about the learning progress of all participants in the group will be sent to the registered email addresses. This could include notifications about course completion or failure to complete a training within the deadline.

Static Group:

Participants are added manually to the static group. Assignment can be done individually or collected through filters. The group is static because participants are not automatically assigned but only when you need it.

Dynamic Group:
Dynamic groups are defined by their rules. With these rules, participants can be automatically added to the group at any time.

For example, if all employees in the marketing department of a company should attend the same training, you would create a dynamic group for the marketing department to manage all employees as a unit easily. After selecting the "dynamic" option, you would apply the "Abteilung" (department) filter and the sub-filter "ist" "Marketing" for this group.

Automatically, all participants with "Marketing" in their participant profile will be added to the group. The advantage is that when new employees are added to the marketing department in the academy, they are also automatically added to the group without any additional effort. All participants in the academy are continuously evaluated in the background according to the specified filters (or rules), and those who meet the filters are automatically assigned to the group. This might look like this:



Since the entire department needs to be trained simultaneously, you can simply assign this group directly to a training. Navigate to the "Participants" tab in your already created course and select the "Add Participants" action. In the following window, you can then select the newly created group at the top and add it to the course:


Once the group is added to the course, you can see the status of the group members with another click on the group within the course and adjust whether the group should receive certificates or be required to complete the training:



In the main menu under "Participants" - "Groups," you can manage the created groups. Here, groups can be edited or deleted.

Note: Groups can only be deleted if they are not actively used anywhere. Whether they are already used can be seen in the rightmost column "Genutzt in" (Used in) By clicking on the group, you will also directly see where the group is already used, such as in courses or mailings.



In the profile of each individual participant, you can also see which groups the participants belong to.

Groups also simplify the recipient selection in mailings in reteach. Instead of filtering all participants every time, you simply add the relevant group to the recipient list for the mailing.



Groups can also be used to easily and systematically activate mandatory participations and certificates.
