We support the following automatisations with Personio:
Synchronisation of employees from Personio to reteach
The synchronisation happens unidirectionally every 5 minutes from Personio to reteach. The following fields are copied:
- First name
- Surname
- Position
- Company
- Department (upon request—please contact our support team)
- Location
- Gender
- Type of employment
- End of employment contract
Caution: The automatisation also adds employees who are no longer active. However, they are blocked if the end date of the employment contract has been reached or the start of the contract is still pending.
Synchronisation of certificates to Personio
The synchronisation of certificates happens unidirectionally every 30 minutes from reteach to Personio. During this, the certificates are added to a previously selected category to the employee in Personio.
The following data is added additionally to the PDF document:
- Course name
- Completion date
Caution: In order for the certificates to be synchronized, employee synchronization must be activated and at least one complete data synchronization must have already taken place. After the automation has been started, certificates issued earlier will also be transferred to Personio.
Note: Certificates are synchronized to the “Other Documents” folder unless a “Learning Certificates” folder is created.
1) How to activate automations and connect Personio with reteach - step by step
Generate API access credentials in Personio
Open the settings in Personio, select the “Integrations” section, and then select “API access credentials.”
Generate new credentials with the following values:
- Name: "reteach"
- Integration: "Anderes" ("Other")
- Personal data:
- Employees: Lesen (read)
- Documents: Lesen & Schreiben (read and write) (only if certificates are added from reteach to Personio)
- Readable employee attributes (please select the following fields):
- Vorname (First Name)
- Nachname (Surname)
- E-Mail (Email)
- Position
- Gesellschaft (Company)
- Abteilung (Department)
- Standort (Location)
- Geschlecht (Gender)
- Anstellungsart (Type of employment)
- Anstelldatum (Date of employment)
- Ende des Arbeitsverhältnisses (End of contract)
- Zuletzt geändert (Last changed)
2) Activate synchronisation from employees to reteach
Under Settings/Integrations, you can start the Personio integration via Kombo. First select Kombo and then Personio.
Next, select what you want to activate:
Then enter your Personio domain:
Enter the API credentials from Personio (instructions in step 1):
3) Activate the synchronisation of certificates to Personio
To activate the synchronization of certificates with Personio, at least one successful employee comparison must have been carried out beforehand.
Ideally, check whether the master data in Personio and reteach match. Before setting up, also consider which document category the certificates should be stored in within Personio.
The certificates are transferred automatically. A folder named “Bildungszertifikate” or “Learning certificates” must be created in Personio (please use this exact name). Once this has been created, we can synchronize all existing certificates – just let us know when you're ready.
